Job Responsibilities
- Weekly Parking Returns to Concord
This requires a mandatory weekly visit to Concord to return cancelled parking passes in order to avoid additional charges, if cancelled parking is not returned within the required timeframe, the company is automatically deducted $50 per pass. This task is time-sensitive and directly tied to cost control and cannot be delayed.
Regular PO Box monitoring is critical for receiving legal documents and invoices. Missed or delayed male poses risks payments and onboarding timelines.
- Amazon Orders (Office & Operations Supplies)
All Amazon orders from grooming department and above-the-wing are processed exclusively through Sophanna. These supplies are essential for daily operational readiness. Any delays or gaps in ordering directly impact staff preparedness, service standards and onboarding timelines, creating immediate operational disruptions across frontline teams.
- Uniform Shipments After Each Orientation (Bulk Processing)
At every orientation, we onboard approximately 20 to 30 ATW and BTW agents, and uniforms are ordered during orientation to ensure employees are fully equipped by their first working day. These orders arrive in bulk shipments and multiple boxes, requiring detailed processing. Each box must be opened and verified to ensure every uniform set is complete. Agents must be then contacted through email for pickup, and a signed acknowledgement form must be prepared and collected confirming receipt.
In addition, a high volume of agents require steel-toe exchanges, which involves coordinating directly with Dan from Team Sales, tracking replacements, and ensuring correct sizing and timely delivery. This process is highly manual, time-sensitive and critical to employee readiness, safety compliance, and operational start dates.
RAIC processing is a regulated, security-sensitive function with strict timelines. Any delays or errors directly impact employee clearance, onboarding, and operational readiness. As of January to June 2025, we are averaging approximately 23 RAIC applications (ATW), representing a consistent and ongoing administrative workload that requires dedicated attention. This volume cannot be absorbed by existing staff without creating backlogs, clearance delays, and compliance risks. Please see the attached chart from 2025.
This task requires pulling detailed reports from Dayforce that list all agents currently paying parking deductions and reconciling them against the monthly report provided by Concord. Any discrepancies must be investigated and resolved. This involves contacting agents directly to confirm whether they are actively using parking and having them complete the required confirmation form. If the agent is no longer using parking, coordination with concord is required to cancel the parking to prevent ongoing unnecessary deductions. This process is time-intensive, accuracy-driven, and essential for employee payroll accuracy.
A full-time Admin position for six months is not an optional resource but an operational necessity to:
- Maintain compliance
- Prevent RAIC delays
- Payroll deduction and accuracy when it comes to parking
- Ensure uninterrupted administrative support
Requirements
- Must have a High School diploma, GED
- Must be at least 18 years of age
- Able to proficiently speak, read, and write in English
- Advanced Excellent computer skills
- Proficient in Microsoft Word, Excel, and Outlook
- Previous Administrative experience preferred
- Must successfully complete all training requirements and maintain certifications throughout employment
- RAIC holder required
