The Specialist, Workforce Administration serves as a subject matter expert, responsible for resolving and approving time codes and leave codes in compliance with company policies and/or applicable CBA. Ensures all Airport and Contact Center Team members are paid biweekly by ensuring that Payroll is closed for all stations. This role is a part of the Workforce Administration team within the Customer and Operational Excellence organization.

- Support daily timekeeping activities by accurately entering and updating employee time and attendance information
- Review timecards for completeness and accuracy, including medical, family, maternity, personal, and on‑the‑job injury leave coding, escalating discrepancies when needed
- Communicate with departments such as Lost Time, HR, Team Member Services, Labor, and the Absence & Return Center to clarify questions and ensure correct application of policies
- Provide oversight and guidance to representatives to ensure established procedures are followed and compliance with State and Federal leave laws is maintained
- Assist with gathering and organizing data for reports or projects; perform basic data review to identify errors or missing information
- Participate in training sessions and apply guidance provided by Training Specialists and Team Leads
- Help maintain and update documentation by providing feedback on SOPs and training materials
- Support meetings by preparing materials, taking notes, or sharing updates as requested
- Identify potential process issues and share improvement ideas with senior team members
- Review daily system reports (WB, Absence Tracker, APS, Employee Central, MyTime) to spot basic inconsistencies and escalate unusual patterns such as excessive hours or swap violations
- Build positive working relationships with local leaders by responding to inquiries promptly and professionally.
- Contribute to ad‑hoc tasks or projects as assigned
- Occasional travel may be required for training or team support. Provide oversight of timekeeping and leave administration processes; monitor for exceptions, resolve routine issues, and escalate complex or high-impact concerns leadership as needed.

Minimum Qualifications – Education & Prior Job Experience
- High school diploma or GED equivalent
- 1-2 years of relevant work experience
Preferred Qualifications – Education & Prior Job Experience
- Bachelor’s degree
- 3 years of relevant work experience in Workforce Administration or Manpower Planning
- 1 year of Change Management or process improvement experience
- Knowledge of AA policies, procedures, agreements, and functions
- Knowledge of the applicable workforce collective bargaining agreements
Skills, Licenses, and Certifications
- Data Analytics
- Effective verbal and written communication skills, with ability to effectively interact with team members at all levels within the company
- Self-motivated and sincere individuals. who can see the importance and impact of their work on the organization’s performance and well-being at large and therefore understand and ensure proper compliance.
- Ability to manage, non-management and contract labor work groups
- Advanced knowledge of Microsoft office to include Excel, Word, Outlook, etc.
