How You'll Help Us Keep Climbing (Overview & Key Responsibilities)
This individual will report to the two VPs, In-Flight Service and MD, In-Flight Service and will be expected to perform advanced, diversified and confidential administrative duties. The candidate must be well organized, self-directed, flexible, team-oriented and enjoy the challenges of supporting a large, diverse-based team in two locations at the General Offices. The candidate must possess strong integrity, excellent interpersonal, verbal and written communication skills, strong decision-making ability and superior attention to detail with an ability to multitask, anticipate needs, prioritize and work independently. The candidate must have the ability to create, manage and maintain schedules across multiple time zones including arranging meetings and complex international travel itineraries. The candidate will be expected to complete, submit and reconcile expense reports, coordinate details of event planning including logistics such as A/V conferencing set-up, conference rooms, booking meetings spaces, etc.
The AA to VP, IFS & MD, IFS will interact with individuals inside and outside the company with a high degree of professionalism and business presence. The candidate must be flexible, proactive, resourceful and efficient in a fast-paced environment, and exhibit an energetic "can-do" approach to job duties. This person would work in the Atlanta Corporate office all five days.
Key Responsibilities
- Highly sophisticated in multitasking and deadline driven and possesses the ability to manage multiple high-level projects.
- Well organized, agile and enjoy the administrative challenges of supporting an office of diverse people and programs.
- Filing, documenting, database work, and preparing invoices, reports, decks, memos, letters and other documents, applying MS Word, Excel, PowerPoint, Access and Outlook.
- The ability to lead and maintain multiple schedules, meetings, handling a high-volume of travel arrangements, travel itineraries and participate in related arrangements.
- Greeting visitors, receiving telephone calls, interacting with Delta leaders and their staffs, working on travel and ticket issues, and preparing responses to correspondence containing routine and sometimes complex inquiries are typical tasks associated with the position.
- The ability to interact with the office staff (at all levels) with a focus on team cohesion.
- Ability to pivot to different projects with ease, proactive, resourceful, and succeed efficiently in a fast-paced environment.
- Act with a high level of professionalism and confidentiality.
- Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally meaningful.
What You Need To Succeed (Minimum Qualifications)
- Minimum 5 years of progressively responsible administrative support experience, including support of senior leaders or executives in a fast-paced corporate environment.
- Demonstrated experience managing complex executive calendars, coordinating domestic and international travel arrangements, scheduling meetings across multiple time zones, and supporting executive priorities.
- Advanced proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
- Proven ability to build collaborative relationships and coordinate activities across multiple departments and administrative teams.
- Strong interpersonal, communication, and organizational skills, with the ability to influence and drive execution on behalf of senior leadership.
- Demonstrated commitment to handling highly confidential and sensitive information with discretion and naturally have strong integrity.
- Exceptional attention to detail, ensuring accuracy, quality, and timely completion of work products and communications.
