Position Summary
The Payroll & HRIS Technician is responsible for managing payroll operations, maintaining Human Resources Information Systems (HRIS), and supporting the integration, optimization, and digitalization of HR processes.
This role combines payroll and HR administration expertise with HR technology knowledge to ensure accurate payroll processing, data integrity, compliance, reporting, and continuous improvement of HR systems.
The position acts as a key liaison between HR, Finance, IT, external payroll providers, and system vendors to deliver efficient and technology-driven people operations.
Key Responsibilities
Payroll & HR Administration Management
- Manage end-to-end payroll processes, ensuring accurate and timely payroll execution.
- Validate payroll inputs including new hires, terminations, salary changes, bonuses, allowances, overtime, and benefits.
- Review payroll outputs and reconcile discrepancies before payroll approval.
- Coordinate with payroll providers and internal stakeholders to resolve payroll-related issues.
- Ensure compliance with labor laws, tax regulations, social security requirements, and company policies.
- Support payroll audits and maintain payroll documentation and records.
- Prepare payroll-related reports and analytics for management.
- Prepare employment contracts.
HRIS Administration
- Serve as the primary administrator for HRIS and payroll systems.
- Maintain employee records and ensure data accuracy, consistency, and confidentiality.
- Configure and maintain workflows, business rules, organizational structures, and security permissions.
- Manage HR system upgrades, testing, releases, and implementation projects.
- Troubleshoot system issues and coordinate resolutions with vendors and IT teams.
- Develop user guides and provide training to HR teams and managers.
HR Technology & Digital Transformation
- Identify opportunities to automate and improve HR and payroll processes.
- Participate in HR technology implementation projects, integrations, and system enhancements.
- Collaborate with IT and external partners on data interfaces between HR, payroll, finance, and time management systems.
- Support employee self-service and manager self-service solutions.
- Monitor system performance and recommend technological improvements.
Data Analytics & Reporting
- Generate regular and ad hoc HR and payroll reports.
- Develop dashboards and workforce analytics to support business decision-making.
- Ensure data governance and compliance with GDPR and company data privacy requirements.
- Perform data quality audits and recommend corrective actions.
Compliance & Governance
- Maintain compliance with local employment legislation, payroll regulations, and data protection laws.
- Support internal and external audits related to payroll and HR systems.
- Ensure proper controls, documentation, and process governance are maintained.
- Monitor regulatory changes impacting payroll and HR systems.
Qualifications
Education
- Bachelor's degree in Labor Relations, Human Resources, Business Administration, or a related field.
- Fluent English and Spanish.
- Payroll or HRIS certifications are desirable.
Experience
- 3–5 years of experience in payroll administration and/or HRIS management.
- Knowledge of payroll legislation and HR operations.
- Experience participating in HRIS implementations, migrations, or system upgrades.
Technical Skills
- Strong knowledge of HRIS platforms (e.g., Workday, SAP SuccessFactors, Oracle HCM, UKG, ADP, Cornerstone).
- Experience with payroll systems and time & attendance platforms.
- Advanced Excel skills.
- Experience with reporting tools, dashboards, and data analysis.
- Understanding of HR systems integrations and data management.
- Knowledge of GDPR and HR data privacy requirements.

What We Offer
- Permanent, full-time contract.
- 40 hours per week.
- Working hours: Monday to Friday, from 09:00 to 17:00.
- Hybrid working model: 1 day of remote work per week.
- Work location: WFS1 offices in Madrid.
