About the role:
As an Administrative Assistant, you'll be a big part of keeping our office running smoothly while supporting various departments. You'll work closely with the Office Manager and our management team every day. If you're comfortable in a fast-paced environment, passionate about administrative tasks and want to contribute to an international company, we'd love to meet you.
Responsibilities
What are your responsibilities:
- Organizing the work of the Shared Services Center in the area of proper functioning of the office (including contact with the building administration, reporting defects)
- Taking care of internal communication in the company and ensuring the proper flow of information among employees;
- Assisting with the organization of employee events;
- Organizing internal and external trainings in providing conference rooms, catering and hotel reservations;
- Liaising with suppliers;
- Overseeing the supplier database and setting up new suppliers in accordance with company procedures;
- Supervising the purchasing process
- Organizing and overseeing guest visits;
- Handling incoming and outgoing correspondence;
- Taking care of the proper circulation of documents and correspondence
- Archiving contracts between the company and external suppliers;
- Handling generic mailboxes
Qualifications
What makes you a good fit for this role?
- University degree preferred ( philology, administration, economics, etc.) Students or graduates (available to work full time)
- Experience in a similar position, min. 6 months,
- Practical knowledge of English at least B1 level,
- Skills in operating computer programs,
- Knowledge of MS Office programs,
- Organization and prioritization skills,
- Ability to cooperate at different levels of the organization,
- Kindness and positive attitude
Not required, but would be an asset:
- Familiarity with Canva
- Knowledge of SMA program
