As a Travel Coordinator at Breeze, you will play a vital role in ensuring smooth and efficient travel arrangements for all our Team Members. Your primary responsibility will be to coordinate and book logistics for employee travel, including flights, accommodations, ground transportation, and other related services. You will be responsible for ensuring all travel arrangements are properly planned, executed, and documented to provide a seamless experience for our employees in alignment with company policies and FARs.
Please Note: This position will work Friday - Monday from 8:00pm - 6:00am (Four 10-hour shifts)
Here’s what you’ll do
- Handle the end-to-end process of booking flights, ensuring availability, securing the best fares, and making necessary modifications or cancellations as required.
- Research, select, and book appropriate accommodations based on employee preferences and travel policies, considering factors such as location, quality, budget and all FAA regulations.
- Responsible to enter all Deadhead flights (DH and DHPP), GT and hotels into the crew app system, currently NOC. To ensure information and pay accuracy.
- Arrange ground transportation services, such as airport transfers and car rentals, to ensure timely and convenient travel for employees.
- Ensure travel arrangements adhere to company travel policies, guidelines, and budget constraints.
- Prepare and maintain accurate records of employee travel, including itineraries, expense reports, and other relevant documents.
- Serve as the main point of contact for employees regarding travel logistics, providing timely and accurate information, addressing queries, and resolving issues or concerns via phone, message or email.
- Assist in tracking and reconciling travel expenses, ensuring adherence to budgetary guidelines and proper documentation.
- Create new Team Member’s profiles on the different systems related to Travel and add their flight beneficiaries.
Here’s what you need to be successful
Minimum Qualifications
- Available to work on different shifts covering 24/7 including weekends and holidays.
- High School or higher.
- 2-3 years of experience in travel coordination or a similar role, preferably within the airline industry.
- Knowledge of travel booking systems, industry trends, and travel-related regulations and requirements.
- Strong organizational abilities to handle multiple travel requests simultaneously, prioritize tasks, and meet deadlines.
- Meticulous attention to detail to ensure accurate booking information, travel documentation, and expense tracking.
- Excellent written and verbal communication skills to effectively interact with employees, travel vendors, and stakeholders at all levels.
- Legally able to live and work in the country where the position is based.
- Strong problem-solving skills to address travel-related issues, find suitable alternatives, and ensure smooth travel experiences.
- Demonstrated customer service orientation with the ability to provide exceptional support to Team Members, anticipating their needs and resolving concerns.
- Proficient in travel booking software, Microsoft Office Suite, and other relevant tools.
- Ability to work in a fast-paced, dynamic environment, adapt to changing priorities, and handle unexpected situations efficiently.
