Job Title: Crew Service Administrator
Department: Flight Operations
Location: Toronto, ON (YYZ)
Work Arrangement: This role is primarily based in the office environment.
Position Overview:
Reporting to the Manager, Crew Services, the Crew Service Administrator is a key role within the Flight Operations department, with primary responsibilities including document control, management of the technical library, and comprehensive administrative support for the Vice President of Business Transformation and Operations, the Chief Pilot, and other essential Flight Operations team members.
This position is based in our corporate office in Toronto, ON (YYZ). The Crew Service Administrator may occasionally travel for in-person meetings and is expected to work some weekends and evenings as needed.
Primary Job Functions:
The duties of the Crew Service Administratorinclude:
- Provide support to Flight Operations Management on operational issues, including distributing pilot memos, updating systems, and coordinating manual amendments
- Coordinate TSA clearances for flight training in the United States
- Assist with Crew Member recruitment, onboarding, and offboarding processes
- Manage the crew uniforms database, vendor communication, and uniform distribution
- Review crew expenses for accuracy and compliance
- Ensure all necessary documentation and aircraft manuals are current
- Track crew compliance with required items, such as iPads, memos, and training acknowledgments
- Oversee the crew RAIC process and support crew planning and scheduling
- Serve as the primary point of contact for general crew inquiries
- Assist in developing and distributing new hire packages and provide on-site training support
- Maintain vendor relationships for Flight Operations and oversee accurate invoicing and payment tracking
- Contribute to special projects as needed
- Provide backup support for other Flight Operations team members
Qualifications & Requirements:

- Education:
- College Diploma in Aviation Management, Business Administration, or a related field is preferred
- Experience:
- At least two (2) years of previous related experience in an airline environment, or a complex administrative support role is strongly preferred
- Experience with regulatory compliance processes is an asset
- Skills & Abilities:
- Strong project management skills with the ability to take initiative on complex tasks, demonstrating a proactive approach to problem-solving and task management
- Skilled in reading and interpreting acts, regulations, and legal documents, with a solid understanding of airline operations-related legal aspects
- Proficient in technical and business writing, with the ability to communicate complex information clearly and effectively
- Knowledgeable in Crew Scheduling Systems, such as Jeppesen FDPro, showcasing expertise in crew scheduling software
- Excellent organizational and time-management skills
- Strong communication and interpersonal abilities
- High attention to detail and accuracy in data entry and record-keeping
- Proficient in Microsoft Office Suite and database management
- Capable of working both independently and collaboratively in a fast-paced environment
- Flexible and adaptable to changing priorities and operational needs

- Requirements:
- Clear criminal record check and satisfactory employment references
- Ability to obtain and maintain a valid Restricted Area Identity Card (RAIC)
