Monitoring of all timings (ATA/ATD) of customer airlines including the pro-active collection and distribution of information to concerned departments, Produce weight & balance documentation i.e. LIR & Load Sheet etc.
Act as the key liaison with all stakeholders including crew on issues arising, ‘owning’ the aircraft during the turn round and supporting the Manager on Duty on a shift basis with the daily operation to make sure that the station targets (KPI’s) are met, assistance to OCC/Load controller / Head set / Marshalling during turn rounds
Responsibilities
OCC
- Ensure all aircraft movement messages are correctly fed into the operational systems in order to guarantee accurate information at all times to customers, airport authorities and departments
- Ensure that all flight related messages and services provided are correctly and timely fed in the Swissport reporting tools e.g. FSC, SOR / Airline specific format
- Correctly send arrival and post departure messages (MVT, LDM, CPM, UCM IN /OUT, SCM etc.) in conformity of airlines timelines and standards
- Calculation and proposition of ETD/AD MVT if needed
- Updating airport authorities with relevant information and communication to ramp on additional auxiliary services requested by the crew e.g. Full ground support
- Coordinating/Liaison with third party providers on behalf of airlines for the provision of services e.g. Fuelling, Passenger Bussing, Catering
- Maintain an accurate record of all communications (E-mail / Telex) regarding each flight for audit purposes
- Contact flight deck crews by means of VHF Radio for regular updates
- Activate emergency procedures and initiator together with Manager on Duty (If required)
- Preparation of trip File as per airline & / or Swissport’s standards
· Liaise with the crew hotel on call and pick up times on behalf of the Customer Carrier
- Maintain excellent knowledge of all the operations at the station as per SOP
Load Control
- Preparation of flights in cooperation with CLC of airline / Swissport
- Prepare and submit to the Captain a signed Load sheet (& NOTOC where applicable) in conformity to airline timelines and standards
- Facilitate to the Captain with the approved NOTAMs, ATC Flight Plan and Route Meteorological information (as/if required) and provide crew briefing
· Issue to the Ramp loading team leader (or personnel responsible for aircraft loading) with a signed Loading Instruction that is in accordance to airline procedures (GOM)
· Receive from a confirmation from Ramp loading team leader (or personnel responsible for aircraft loading) specifying that aircraft has been loaded in accordance to instructions prior to issuing a Load sheet & signed Loading Instruction before submitting the Load sheet according to airline timelines and standards
· Coordination with cargo department on booked cargo documentation (PWS, NOTOC, relevant documents as per airline standards) are available and delivery to ramp as per airline standards
· Continuously check that the aircraft loading and unloading activity is within safe weight and center of gravity limits.
· Verify that dead load weights provided on the PWS as well as checked-in baggage are within safe loading limits and that they do not pose a hazard to the aircraft or persons around it.
- Ensuring load control accuracy, practicality and procedural compliance so that output is of a high standard with regard to safety and quality
- Ensuring aircraft is operated within their operational limits with regard to weight and balance
- Maintaining operational efficiency achieved through optimum fuel uplift and trim
- Contribution to OTP (On Time Performance) for all load control related activities
- Interaction with other departments and outside agencies including Ramp Operations, Cargo and Passenger Services to ensure effective communication in order to complete Load Control tasks safely, accurately and punctually
- Participate in training within airline and/or related agency in various areas of ground operations
- Revalidate licenses as mandated by Swissport and customer airline
Flight Coordinator
- Liaise with the Swissport Manager on Duty & Ramp Duty Officer on all ramp related issues
- Conduct a pre-flight brief with the Ramp loading team leader, BRS supervisor and Cabin cleaning supervisor
- Liaise with Manager on Duty and OCC/Load Control on operational requirements per shift / flight
- File all operational related flight documents as set forth by Swissport and customer airline and sub contracted companies
- Pre / post flight bay inspection / walk around with the team and report any damages to Aircraft / ULD as per Swissport and airline standards
- Transmission of a flight handling report summary, correctly completion of SOR at the end of shift and all related paperwork (as per shift task list)
- Preparation and submission of charge sheets to airline for approval on services (basic & extra) provided
- Ensuring all services provided tally with the charge sheet, correctly and timely captured in FSC whilst ensuring flights in FSC closed by end of shift
- Coordinate and direct all operational activities within the turnaround including loading, fueling, aircraft servicing, cleaning, catering, boarding and manage any disruptions to these events, in consultation with the Manager on Duty &/or Airline representative
- Ensure the turnaround activities are in compliance with corporate safety, security and operational procedures and processes
- Enforce safety on ramp and report any deviations to the Manager on Duty and Ramp Duty Officer
- Responsible for achievement of Precision Time Schedule criteria and punctual departures as per the Turn round check list
- Responsible for ensuring that agreed baggage reconciliation (BRS) procedures are followed and that required paperwork is completed prior to departure of the flight
- Responsible for handing over aircraft documentation to crew, including flight plans, met folders, load sheets, etc. and cross checking that the documentation provided by CLC is for the appropriate flight, date and aircraft.
· Comply with all Swissport, airport authority and airline safety and security requirements
· Follow all safety guidelines set out by Swissport SOP, Manuals and Airline GOM’s
· Ensure valid driver’s license and airside driving permit at all times
- Revalidate licenses as mandated by Swissport and Customer airline
· Perform any additional task as may be assigned by the OCC Manager or Superior
Qualifications and Competencies
- High School Diploma
- At least 2 years of experience in the airline industry
- Valid driver's license
- Licensed Load Control Certification required
- Excellent math skills
- Good communication skills
- Excellent verbal and written communication skills in English (Arabic in addition is an advantage)
- Must be able to work flexible hours
