Position Summary
Responsible for overall accounting and finance functions of Malaysia Aviation Group (MAB/FY) at the station/country/region.
Key Accountabilities
Responsibilities
The finance rep at the station is responsible for overseeing a broad range of finance and administrative functions. Responsibilities include but are not limited to accounting and financial management, vendor and stakeholder management, Compliance, Audits and Taxations as well as to provide team collaboration and support. It is crucial to understand the impact within the team and how it contributes to the overall success of finance operations and company processes. Key responsibilities include, but are not limited to, the following:
Accounting and Financial Management
- Perform transactional activities to support finance functions, ensuring the accurate and timely processing of accounting records.
- Maintain accounting journals, ledgers, and financial records for all business transactions, including OTC, PTP, and RTR processes (accounts payable, accounts receivable, petty cash, funds forecast, tax payments, statutory submissions, payroll, and local staff records etc.
- Support purchase requests and goods receipt functions.
- Manage the distribution and status reporting of accountable documents to head office.
- Verify vendor payments and staff payments in accordance with contract terms and local employment conditions prior to processing.
- Prepare SOA for vendors/write-off report.
- Ensure sales collections and receipts are properly accounted for and deposited into the MAB account.
- Prepare consolidated cash flow reports as required by head office and monitor cash flow, including forecasting and ensuring sufficient liquidity.
- Assist in monitoring EVS, budget control, coordinating with Business Unit Heads before expenses are incurred to ensure adequate funding.
- Assist in the repatriation of surplus funds to head office or other stations.
- Manage the disbursement and replenishment of cash floats, ensuring proper reporting and recording
- Review and maintain Bank Guarantees and coordinate with HQ team.
- Ensure compliance with accounting standards, internal controls, and local statutory requirements. Vendor and Stakeholder Management
- Liaise with external vendors to maintain good terms and ensure service level agreements (SLAs) are met.
- Liaise with the banks, local authorities, consultants, vendors, customers, business units and head office on finance related matters.
- Collaborate with business units/internal customers at the station to ensure financing matters are in order and controlled.
- Attending industry (IATA/CASS/BSP etc) and other stakeholders meeting as and when required.
Compliance, Audits and Taxations.
- Ensure compliance with financial regulations, accounting standards, and internal controls.
- Assist in coordinating internal and external audits and implementing corrective actions as necessary.
- Prepare statutory accounts for filing with regulatory authorities and ensure timely submissions.
- Monitor the monthly GST/VAT and other local taxes as required.
- Prepare/Review and monitor the submission of GST/VAT/WHT and other local taxes, staff taxes, annual corporate tax and other taxes/filings to the relevant Authority.
- Perform the role of Principal Finance Officer in dealings with the local authorities on behalf of the company.
- Support and liaise with tax consultants on all tax matters and local filing requirements in consultation with the head office team.
