About the team you are joining
IATA’s Vendor Management unit (part of
the Information & Data (I&D) Division is responsible for managing
all vendor‑related and contractual engagements with key IT suppliers across the
organization. This includes ensuring that supplier relationships, contractual
frameworks, and service delivery standards are aligned with IATA’s strategic
and operational objectives.
In your role as a Vendor Management and Contracting Specialist, you will
oversee the full contract lifecycle, including the preparation, negotiation,
and execution of new agreements until successfully signed. The role also
expands to the management of contract renewals, and contract amendments.
For the vendors under your portfolio, you shall also collaborate
with I&D Support team in tracking vendor performance levels and SLAs
as per agreement.
As part of your daily responsibilities, you will work closely with cross‑functional
teams across IATA, particularly Legal, Procurement, the Project Managers, and
relevant business units.
What your day would be like
In this role, you
will play a key part in helping IATA build strong, transparent, and effective
relationships with its I&D suppliers. Your work will ensure that agreements are
well-managed, performance stays on track, and internal teams receive the support
they need to operate smoothly.
Contract
Lifecycle Management
1- Prepare, review, and coordinate new vendor agreements, ensuring all documents are accurate and aligned with business needs.
2- Support or lead negotiations with suppliers to secure clear, fair, and complete contract terms.
3- Follow agreements through the full approval chain until signature and ensure everything is properly stored and recorded.
4- Draft and process contract amendments when changes are required.
Vendor
Performance Support
1-Work closely with the I&D Support team to monitor vendor performance against agreed SLAs and KPIs.
2- Help identify service gaps or areas needing attention and follow up with suppliers as needed.
3- Ensure vendors remain compliant with contractual obligations, required certifications and IATA’s standards
Collaboration & Engagement
1-Work closely with Legal, Procurement, Finance, Project Managers, and business units to support smooth contract and vendor-related workflows.
2- Coordinate internal approvals, risk assessments, and documentation needs.
3- Provide teams with contract insights, background details, and guidance when supplier questions arise.
Administrative,
PTP & Governance Activities:
1- Maintain an organized and up-to-date library of contracts, amendments, and vendor-related documents.
2- Track upcoming contract expiry dates, initiate renewal discussions, and update agreements when needed.
3- Prepare PR executive summaries, submit PTP workflows, follow up with FP&A and approvers
4- Support audit requests, reporting needs, and internal governance activities.
5- Contribute ideas and improvements to strengthen vendor management processes and tools.
We would love to hear from you if you have:
Proven experience in Contract Management, with at least 3 years in IT-related
contracts (Hosting, IT license agreements, IT Support, Software Development and
Staff augmentation);
Proven experience
in IT Vendor & Performance Management;
Familiarity in
SAP PTP processes and Vendor Master Data and RFI/RFQ/RFP Procedures;
IT Buyer
experience is a plus;
Contract
Management Certification is a plus;
Excellent
level of English (other languages: Arabic, Chinese, French, Spanish is a plus).
