The Sr. Executive- Pilot Training is responsible for managing, updating, and maintaining all electronic and physical records related to pilot and crew training, certifications, and regulatory compliance. This role ensures seamless documentation flow, supports internal and external audits, coordinates with multiple departments, and helps maintain crew legality by ensuring timely updates of licenses, training records, and expiries. The position demands high accuracy, strong coordination, and effective communication to support smooth pilot operations and readiness.
Qualification Required
- Bachelor’s degree in Management, Aviation, Administration, or a related field.
- Working knowledge of AIMS, aviation processes, DGCA norms, documentation standards, or training procedures (added advantage).
Skill Set
- Strong proficiency in MS Office (Excel, PowerPoint, Word).
- Excellent documentation and record‑keeping skills.
- Ability to understand and manage aviation‑related data and training modules.
- Strong coordination skills with internal and external stakeholders.
- Detail‑oriented with strong follow‑up abilities.
- Good written and verbal communication skills.
- Ability to handle confidential data securely.
- Familiarity with crew management systems - AIMS (preffered).
Job Responsibilities
Documentation & Record Management
- Maintain electronic records of all crew documents in the documentation system.
- Ensure proper processing and filing of all training and corrective training documentation.
- Update and maintain pilot folders immediately upon completion of trainings.
- Ensure complete and accurate crew files are available for internal/external audits or as required.
- Cross‑check and update missing parameters in the crew database.
Monitoring & Compliance
- Monitor expiry dates of licenses and documents; follow up with pilots for timely renewal.
- Update expiries and validity based on completed trainings (Medical, IR/PPC, etc.).
- Track expiries on a weekly basis and escalate discrepancies.
- Ensure CAT II/III operations clearance updating based on requirements.
Training Coordination
- Follow up with training teams to procure training documents and certifications for timely updates.
- Support crew legality by ensuring accurate and timely recording of all required documents.
- Ensure smooth onboarding documentation for newly joined pilots.
Stakeholder Coordination
- Coordinate with Pilots, Scheduling, Logistics, Pilot Administration, and internal teams for real‑time updates concerning availability or non‑availability for duty.
- Manage daily communication and ensure timely response/forwarding of emails to relevant departments or individuals.
Reporting & Presentation
- Prepare PowerPoint presentations for leadership team reviews, pilot inductions, and documentation audits.
- Provide weekly/monthly reports on expiries, documentation status, and compliance.
