Aerovel (the Airbus Helicopters Flexrotor Program) is looking for a Bids & Proposals Coordinator to join ourBusiness Development & Sales Teambased in Bingen, WA.
This role provides critical support to the proposal development process for Flexrotor contracting opportunities, by managing key sales processes, developing proposals and commercial offers, marketing support, maintaining Customer Relationship Management (CRM) systems, analyzing performance metrics, and ensuring regulatory compliance. The ideal candidate will possess strong organizational skills, excellent written and verbal communication abilities, and a keen interest in delivering excellence in competitive proposals.

The Airbus Helicopters Flexrotor Program offers one of the most advanced small tactical unmanned aerial systems (STUAS) with vertical take-off and landing (VTOL). It can be used day or night by US and allied forces for a diverse range of intelligence, surveillance, target acquisition and reconnaissance (ISTAR) on land and at sea.

Your Challenges:
Bids & Proposal Development Support: 80%
Assist in the preparation, formatting, and editing of proposal documents, ensuring compliance with solicitation requirements and company standards.
Prepare finalized bid and proposal submissions from author drafts for executive management consideration and final approval
Support the proposal team in gathering, organizing, and tracking required documentation, including resumes, past performance references, and technical content.
Maintain proposal schedules, calendars, and action item lists to ensure timely completion of deliverables.
Conduct research on government solicitations, agencies, and competitors to inform proposal strategy and content.
Coordinate with internal subject matter experts to collect technical input and ensure accuracy of proposal content.
Help manage version control and document management for all proposal materials.
Participate in proposal meetings, take notes, and track action items for follow-up.
Assist with the development of graphics, tables, and other visual aids to enhance proposal submissions.
Support post-submission activities, including proposal archiving and lessons learned documentation.
Sales Enablement and Marketing Support: 20%
Support creation and maintenance of marketing collateral (brochures, presentations, digital assets).
Support Salesforce reporting, including lead and opportunity tracking, pipeline accuracy, and dashboard/report development.
Assist in brand awareness initiatives, including sponsorships and industry partnerships.
Assist in annual sales planning and forecasting efforts.
Coordinate updates to product configurations and pricing databases.
Contribute to operational improvement initiatives and recommend process enhancements.
Provide logistical and administrative support for sales team travel and customer site visits.

BS/BA degree or equivalent experience
Minimum one (1) year of experience in proposal development, technical writing, or administrative support (internships or coursework may be considered).
Strong attention to detail and organizational skills.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to work collaboratively in a fast-paced, deadline-driven environment.
Willingness to learn and adapt to new processes and requirements.
UP to 10% Domestic and International Travel involved
Must be a US Person under ITAR definition (U.S. Citizen, green card holder or person covered under our existing ITAR license)
Knowledge of and experience with military, civil agency and commercial contracting requirements.
Must be able to lead multiple simultaneous tasks with potentially overlapping deadlines.
Strong attention to detail, excellent organizational skills, solid follow-thru skills and strong motivation, personal and communication skills.
Ability to communicate effectively in verbal and written form in English
Operator level proficiency in MS Office 2010 applications, MS Project, Adobe Acrobat, SharePoint, MS Outlook and Salesforce
Advanced level proficiency in MS Office 2010 applications; MS Visio, operator level proficiency in Adobe Photoshop, Expert Choice, SnagIt preferred
Preferred:
BS/BA in Business, Marketing or Management
Any experience in aviation industry is preferred (Uncrewed Aircraft Systems (UAS) preferred)
French or German language skills

Salary range:
Salary range based on the required profile: $80,000 - $104,000/year.Actual minimum and maximum may vary based on geographic differential. Individual pay is based on skills, experience, and other relevant factors.
