Primary Objective Of The Position
This position is responsible for the accurate and timely processing of payroll while ensuring compliance with federal, provincial, and company policies. This role requires strong knowledge of payroll administration, union payroll, third-party remittances, benefits auditing, general ledger reconciliations, workforce management systems, and Collective Agreements.
Job Duties
- Process accurate and timely bi-weekly payroll for salaried, hourly, and unionized employees, ensuring compliance with applicable Collective Agreements, including wage rates, premiums, contractual obligations, and union remittance requirements.
- Manage employee timekeeping records, ensuring the accurate processing of regular hours, overtime, shift premiums, vacation, and attendance.
- Review and audit payroll transactions, employee benefits, and payroll deductions to ensure accuracy and compliance, while investigating and resolving payroll discrepancies and responding to employee payroll inquiries in a timely manner.
- Prepare and reconcile third-party remittances, including pension, benefits, union dues, garnishments, workers' compensation, and statutory deductions.
- Reconcile payroll-related General Ledger accounts and prepare journal entries for month-end and year-end financial reporting.
- Support payroll year-end activities, including reconciliations, tax reporting, and regulatory filings.
- Ensure compliance with payroll legislation, employment standards, tax regulations, collective agreements, and company policies.
- Administer monthly billings and payments for insurance providers, benefits, pension, RRSP, and other payroll-related programs, ensuring timely processing, accuracy, and reconciliation.
- Administer short-term and long-term disability claims in collaboration with internal and external stakeholders.
- Maintain and update payroll policies, procedures, and Standard Operating Procedures (SOPs) to ensure compliance, consistency, and operational efficiency.
- Collaborate with Human Resources, Finance, and Operations to support payroll initiatives and ensure seamless payroll operations.
- Maintain the confidentiality and integrity of payroll and employee information.
- Participate in payroll audits and identify opportunities for process improvements.
- Perform other payroll-related duties and special projects as assigned.
Qualifications
- Diploma or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field.
- Minimum of four (4) years of payroll administration experience, preferably in a high-volume, unionized environment.
- PCP designation or actively working toward certification is considered an asset.
- Strong knowledge of Canadian payroll legislation, employment standards, payroll taxation, statutory remittances, and year-end reporting requirements.
- Experience processing payroll for unionized employees, third-party remittances, employee benefits, and payroll-related General Ledger reconciliations and journal entries.
- Experience with payroll, workforce management, and timekeeping systems; experience using UKG Pro, UKG Workforce Management (WFM), or similar Human Capital Management (HCM) systems is considered an asset.
- Advanced proficiency in Microsoft Excel, payroll reporting, and Business Intelligence (BI) tools is considered an asset.
- Strong analytical, organizational, problem-solving, communication, and time management skills, with the ability to prioritize multiple deadlines, work independently, and maintain confidentiality.
