Position TitleSenior Executive, Standards and Procedures
Reports ToHead, Corporate Safety Oversight
Position SummarySenior Executive, Standards and Procedures is responsible to perform the advanced level of Standards & Procedures and Document Control. Coordinate document control processes and procedures development for Corporate Safety Oversight and MAB Division, with engagement with Group Safety & Security, Standards and Procedure on EDMS processes.
Key Accountabilities - Manage overall coordination for document control in CSO and MAB Division;
- Manage CSO document referencing and indexing inclusive Official Letters, MEMO, ALERT, etc.;
- Manage CSO presentation deck, minutes and documents template are aligned to MAG Document Control Policy Manual (DCPM) and relevant standards;
- Manage CSO Policy Review Council (PRC) and acts as CSO representative in MAG Manual Review Council (MRC);
- Analyse and evaluate CSO document control structures, principles, policies, process and procedures in conformance to Regulatory and DCPM requirement and report to the Head CSO on the gaps identified;
- Coordinate CSO manual approval (internal and external);
- Liaise with GSS Standards and Procedures on Electronic Document Management System (EDMS) related matters;
- Liaise with GSS Standards and Procedures for manual cross-referencing with other BU's manual;
- Ensure Master Manual List (MML) are updated in alignment to the approved manuals;
- Support in editorial for CSO articles, bulletins, etc
- To support Head CSO on the annual development planning and overall administration of the unit;
- Generate various document control reports as and when required;
- Support audits (internal, external or 3rd party) in order to verify that regulatory and quality compliance requirements have been met;
- Other ad-hoc duties as detailed by the business as and when required.
Qualification & Experience - Degree in IT /Mathematic/ Science/ Engineering/ Business related discipline, OR
- Diploma/STPM or its equivalent with two years of related experience
- Minimum requirement of three years working experience in Document Control or similar capacity;
- Proven competency in English Language skills;
- Proven technical/procedures writing skills ;
- Ability to multi-tasks and prioritise workload while delivering high accuracy/quality work; and
- Competent computer skills in Microsoft applications (MS Excel, MS Words & MS Power Point).
- Tertiary qualification is preferred.
