Crew Records Specialist to process crew records and manage the data entered in to the FAA approved qualification management and record keeping systems.
Crew Records Specialist Overview:
The Crew Records Specialist reports directly to the Manager of Crew Assist. The primary function of the Crew Records Specialist is to process crew records and manage the data entered into the FAA approved qualification management and record keeping systems.
The Crew Records Specialist will ensure maximum safety, efficiency, and effectiveness of flight operations and will ensure adherence to company procedures and policies and Federal Aviation Regulations.
Essential roles and responsibilities of a Crew Records Specialist:

- Prepare new hire files.
- Request applicable background check requests for new-hire crewmembers.
- Data Entry into approved digital record keeping system for all training data.
- Quality Assurance: Verify accuracy of qualification data maintained in digital record keeping software.
- Data entry of flight crew training records into our electronic tracking systems.
- Correspond and report as required to inform Flight Operations, Inflight and Crew Scheduling of the status of forthcoming expiration dates of medical certificates, temporary certificates, passports, etc. with advance notification.
- Provide copies of training records that are officially requested by other airlines under the Pilot Records Improvement Act (PRIA).
- Collect and maintain all paperwork for permanent records and tracking upon completion of training program, audit paper records for accuracy prior to entry per approved electronic record keeping system.
- Track trends to identify and mitigate risks of current processes and methods. Ensure standard processes and procedures are consistently maintained.
- FAR Compliance: Maintain knowledge of applicable Federal Aviation Regulations (FARs), crewmember contracts, training manuals and Company policies and procedures.
- Provide feedback to the Manager of Crew Assist and Technical Publications to maintain and update departmental Procedure manuals.
- On-Call and After-Hour Support: Serves as on-call personnel for the Training Department required to answer the on-call phone and respond to and resolve after-hours issues.
- Support the Training Coordinator and other flight operations managers, as required.
- Perform other duties as assigned by the Manager of Training Scheduling.
- Ensures tasks are conducted in a safe and efficient manner complying with all local, state and federal safety and health regulations, programmatic standards, and with any special safety concerns identified by Sun Country Airlines.
The qualifications we are looking for in a Crew Records Specialist include:
- High School Diploma or equivalent
- Records administration or data entry experience
- Proficient with Microsoft applications with emphasis on Excel, Word, Outlook and SharePoint.
- Very good communication, organizational and problem-solving skills.
- Able to collaborate with others in a professional manner.
- Must be a highly motivated self-starter, able to perform independently and communicate effectively within a dynamic environment and meet deadlines
- Ability to establish and maintain effective working relationships with other employees.
- Must be discrete with sensitive and confidential information.
