Summary Of The Role
The People & Culture Specialist is responsible for supporting the HR department’s daily operations, including maintaining employee records, preparing HR documents, and managing onboarding and offboarding processes. The role also involves planning and executing HR-related events, assisting employees with benefits and remuneration inquiries, and processing HR-related payments.
Additionally, the specialist will manage the payroll system, ensuring accurate and timely payroll processing, collaborating with payroll vendors, and preparing financial reports. They will also implement and monitor HR policies to ensure compliance with corporate standards and local legal regulations.
In This Role You’ll / Your Main Responsibilities
- Administrative Support:
- Maintain employee records (e.g., attendance, Workday) in compliance with policy and legal requirements.
- Assist in preparing HR documents, such as employment contracts and benefits letters.
- Implement onboarding and offboarding processes.
- Plan and deliver HR-related events in Japan, such as employee orientation, townhalls, engagement activities, and social events.
- Assist employees with inquiries about benefits, remuneration, and other relevant issues.
- Process payments related to HR activities.
- Payroll Management:
- Maintain the payroll system and process payroll accurately and on schedule.
- Calculate salaries, benefits, tax deductions, etc.
- Collaborate closely with the payroll vendor.
- Maintain accurate records of payroll documentation and transactions.
- Prepare reports for the Finance department.
- Address payroll-related issues and questions from employees.
- Policy Implementation:
- Implement and monitor HR policies and procedures, ensuring alignment with corporate HR policies and compliance with local legal regulations in Japan.
About The Ideal Candidate
- Proven experience as an HR and/or Payroll Specialist.
- Basic knowledge of HR functions.
- Good understanding of Japanese labor laws.
- Proficient in MS Office, especially MS Excel. Knowledge of Workday is a plus.
- Outstanding organizational and time management abilities.
- Meticulous and detail-oriented, with the ability to work in a complex organizational structure.
- Proactive and results-oriented, with good communication and relationship-building skills.
- Proficiency in English is a significant advantage due to collaboration with teams outside of Japan.
