Job Summary
The Onboarding Specialist is responsible for supporting and monitoring the post-hire clearance process for all operational Swissport new hires while ensuring regulatory compliance. This position will directly partner with the Talent Preboarding Lead for their assigned station to ensure recruiting objectives are met in a timely manner. The ideal candidate will be a well-organized team player who can thrive in a fast-paced, high-volume, regulated work environment, while driving an industry best candidate experience.
Team Member may also be responsible for performing other job duties occasionally as assigned.

Your activities
- Support the candidate onboarding process from offer acceptance to start of training.
- Partner with HR on candidate onboarding processes via iCIMS, including pre-employment background checks, drug screenings, including airport authority and badging forms, FAA regulatory, and state tax forms.
- Guide candidates through the onboarding process with clear, concise communication and instruction; attending to barriers, and upholding the service standards of the organization.
- Monitor candidate onboarding tasks in Applicant Tracking System (iCIMS) to ensure the timely completion of assigned tasks.
- Engage with candidates via phone, email, and text to follow up on pending items and provide guidance and support on the onboarding process.
- Collaborate with the Talent Acquisition, Human Resources, and Training teams to resolve challenges and continuously improve onboarding processes.
- Maintain confidentiality and diligently protect the personal information of candidates and team members.
- Ensure compliance with federal, state, and local regulations.
- May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate (e.g., emergencies change in workload, rush jobs, or technical developments).

Your profile
- 1-3 years of previous HR, onboarding, operations or regulatory compliance, or related experience preferred.
- Experience working in a role monitoring a process or workflow.
- Excellent communication skills- written, verbal, and listening skills. Able to communicate effectively both in-person and through written correspondences with candidates, peers, managers, and leadership.
- Ability to engage all candidates with the highest standards of personal, professional, and ethical conduct.
- Microsoft Office Skills include scheduling Outlook meetings, responding to candidate inquiries via email, entering candidate data into an Excel tracker, etc.
- Comfortable performing repetitive tasks.
- Ability to manage candidates at different phases of the onboarding process, with many with different hiring requirements.
- Must have technical acumen and be comfortable working with dashboards and widgets and working in different systems daily.
- Detail oriented, self-motivated, proactive, strong organizational skills and ability to prioritize.
- Proficiency in Microsoft Office (Teams, Word, Excel, Outlook, PowerPoint, etc.)
- Works well under pressure and adapts well to working with short deadlines in tight turn-around situations.
