Responsibilities
Fleet Senior Specialist execute day-to-day fleet operations and administration across EMEA, ensuring timely service delivery, accurate data, and full policy compliance. Act as the primary point of contact for drivers and local HR/Facilities for transactional requests and in-life vehicle support.
Yor Responsibilities:
- Intake & Eligibility
Review and validate driver car applications and check eligibility against EMEA policy and documented country exceptions, routing compliant requests for approval within agreed SLAs. - Ordering & Delivery
Place orders for approved requests, coordinate PO creation with local Purchasing, track deliveries and vehicle swaps/extensions to ensure timely and accurate service. - Incidents, Fines & Fuel Cards
Open and track incident/fine cases, coordinate with providers/insurers, trigger payroll recovery as per policy, manage contestations, and administer fuel cards (issue, lock/unlock, reconcile, handle exceptions). - Finance, Data & Registry Management
Maintain accurate fleet master data and driver assignments; keep the central registry (vehicle/contract/driver/mileage) up to date; support mileage and utilization reconciliation and lease-related invoice validation. - Helpdesk & Communication
Act as primary point of contact for drivers and local HR/Facilities across EMEA, handling transactional requests and in-life vehicle support (including VIP and complex cases); maintain SOPs, FAQs, and communication templates. - Reporting & Continuous Improvement
Prepare and provide KPI and performance reporting to Shared Service Management and internal clients; support implementation of best practices to improve efficiency, reduce manual work, and ensure high-quality internal and external customer service.
Who we are looking for:
- Education
Higher education (preferably in Business, Administration, Finance, or a related field). - Professional experience
2–4 years of experience in administrative or coordination roles, ideally within shared services or operations.
Min.2 years of experience in a fleet-related role with exposure to multi-country environments.
proficiency in fleet management software is an advantage.
- Language skills
Very good knowledge of English (B2 /C1). Additional languages such as German, Italian, or French will be considered beneficial. Competencies & skills
- Problem-solving skills
- Proactive approach to process improvements and automation
- Ability to manage multiple tasks simultaneously
- Proficiency in MS Office and Excel
