About the team you are joining
The Publishing &
Distribution Operations Manager oversees the full lifecycle of publication
production, distribution, inventory accuracy, and online-store backend
operations. This role ensures end-to-end workflow integrity—coordinating
closely with SMEs, project managers, translators, the Publishing team, external
composition partners, logistics teams, and IT stakeholders. The Manager
maintains a holistic, strategic view of both content production and product
distribution to support operational excellence across the organization.
What your day would be like
Publishing
Activities:
1. Manage
Publication Composition Processes
Direct the complete “back-and-forth” composition workflow for publications.
Collect, validate, and translate SME instructions into clear, executable
guidance for composition partners.
Ensure all activities follow established file-management and production
standards.
2. Review and Apply Content Adjustments
Evaluate SME-requested content changes and determine the most effective
implementation approach within the XML-based IATA publication modules.
Provide clear guidance to the composition team (e.g., Innodata) on edit
execution, ensuring structural and formatting integrity.
3. Support and Train Content Contributors
Equip SMEs, project managers, and translators with the knowledge needed to
effectively use publishing tools and platforms, including:
Adobe Document Cloud and Acrobat commenting
Basic XMetaL functionality
Microsoft Word (styles, Track Changes, document comparison)
SharePoint collaboration and file management
Clarify expectations and ensure contributions meet publishing workflow
requirements.
4. Execute XML and PDF Production Tasks
Perform global and targeted updates within XML files using text editors.
Apply basic modifications to XML tags, attributes, and structures as needed.
Execute light PDF edits and manage document properties, security settings, and
optimization.
5. Facilitate Clear and Effective Communication
Serve as the central liaison between content contributors, reviewers, the
Publishing team, and composition partners.
Refine and translate instructions into precise, actionable direction.
Provide corrective feedback to composition partners when quality issues or
processing errors arise.
6. Maintain Oversight of the Publishing Lifecycle
Ensure adherence to established production conventions at every stage.
Maintain an overarching understanding of deliverable prerequisites and
sequencing.
Anticipate upcoming production phases and proactively prepare materials and
stakeholders.
Distribution,
Inventory & Online Store Operations
1. Monitor Outbound
Shipments
Track all outbound orders, ensuring timely processing and resolving issues
related to shipment delays or stuck line items in SAP.
Manage PGI (Post Goods Issue) actions and perform required follow-ups to
maintain shipment flow.
2. Manage Order Controls and Adjustments
Cancel outbound deliveries, block orders, or initiate corrective actions in SAP
as required.
Ensure alignment with distribution policies and internal controls.
3. Oversee Inventory Accuracy and Product Availability
Monitor inventory levels regularly to ensure sufficient stock for all
publication deliverables.
Investigate inventory discrepancies and escalate as needed.
Coordinate closely with warehousing or logistics teams to maintain accurate
stock records.
4. Lead the Returns and Stock Adjustment Process
Own the full end-to-end returns workflow, including investigation and
reconciliation.
Process stock adjustments and ensure documentation aligns with audit and
compliance requirements.
5. Lead Online Store Back-End Activities & Issue Resolution
Serve as the primary point of contact for resolving back-end issues affecting
the online store.
Collaborate with IT, Master Data, and operational teams to diagnose and fix
ordering, product listing, and workflow errors.
Ensure data accuracy, correct system behaviors, and resolve issues that impact
order flow, customer experience, or publication availability.
Anticipate recurring issues, provide recommendations for systemic improvements,
and support continuous process refinement.
We would love to hear from you if you meet the following criteria
University degree or equivalent work experience in graphic design, print production, or typography.
Manage end-to-end logistics: from publishing to distribution.
Proficiency in SAP / Salesforce / back office ERP / e-Commerce.
Proficiency in customer support resolution.
Extensive knowledge with IATA products, processes and procedures.
Seasoned with IATA's commercial requirements.
