The Disability Process Improvement Advisor is responsible to support individual case management while driving organization-wide process optimization. This position primarily drives the analysis, design, and optimization of Disability Management workflows, leading documentation, tracking, and structured process modeling to improve efficiency, reduce operational risk, and enable business transformation. Working closely with stakeholders, the role ensures best practices are implemented and sustained across all disability-related processes, while also supporting the initiation and maintenance of non-occupational disability cases as needed.
Responsibilities:
Process Review & Optimization
- Conduct comprehensive reviews of disability management and workers’ compensation processes, including short-term disability (STD), long-term disability (LTD), RTW, and workplace accommodations.
- Identify inefficiencies, compliance risks, and opportunities for automation or redesign.
- Define process governance and standards to ensure consistency and compliance.
- Drive automation strategies and support digital transformation initiatives.
- Monitor and evaluate process performance using key performance indicators (KPIs) and continuous improvement methodologies.
- Stay informed on industry trends, methodologies, and technologies related to absence and disability management.
- Demonstrate the ability to manage tasks under tight deadlines and shifting priorities.
Documentation & Systems Support
- Develop and maintain business process documentation, including policies, procedures, workflows, and training materials.
- Ensure alignment of processes with internal policies, collective bargaining agreements (CBAs), and applicable legislation.
- Collaborate with data analysts to design and refine dashboards and reports that support decision-making and compliance tracking.
- Ensure data integrity and consistency across systems and processes.
- Support integration of jurisdiction-specific requirements into internal systems and workflows.
Stakeholder Engagement & Training
- Collaborate with internal and external stakeholders (HR, Legal, Labour Relations, Operations) to understand workflows and identify areas for improvement.
- Coordinate projects related to disability management system upgrades, including requirements gathering, documentation, timelines, budgets, stakeholder
engagement, and change management. - Evaluate, recommend, and support implementation of external vendor solutions.
- Develop and deliver training programs for internal stakeholders on new tools and processes.
- Provide education on disability management practices to internal and external stakeholders.
- Travel across Air Canada bases as needed to support process reviews, stakeholder engagement, training, and implementation.
Disability Case Coordination Responsibilities
- Support non-occupational disability cases from intake to closure.
- Maintain timely and accurate documentation and communication.
- Maintain regular contact with employees, insurance providers, and internal stakeholders to support recovery and RTW planning.
- Monitor case timelines and escalate delays or missing documentation.
- Maintain confidentiality and adhere to privacy legislation and internal protocols.
Qualifications
- Bachelor’s degree in Business Administration, Disability Management, Human Resources, or related field.
- Strong experience in business process methodologies, analysis, and optimization.
- Familiarity with project management tools (e.g., MS Project, JIRA, Confluence, MS Visio).
- Excellent communication, stakeholder management, and leadership skills.
- Ability to work in a fast-paced, collaborative environment.
- Analytical mindset with a keen eye for process efficiencies.
Preferred Qualifications:
- Experience with automation technologies.
- Minimum of three (3) years direct disability case management experience with a disability insurer.
- Familiarity with compliance and risk management in process modeling.
- Certification in Disability Management (CDMP or CRTWC).
- Experience working with disability insurers, WSIB/WCB and other provincial workers’ compensation boards.
- Project Management Professional (PMP) certification or equivalent experience managing complex, cross-functional projects.
