The incumbent will be responsible for providing administrative support to the Corporate Safety Branch, supporting Corporate Safety, Quality Assurance & Audits, Investigation & Research, and Security. and to ensure efficient operation of the office. As such, the ideal candidate will be a team player with meticulous work standards, possess strong organizational and communication skills.
Responsibilities:
- Provide overall administrative guidance and support to the Managing Directors Directors/Directors and Corporate Safety Branch.
- Maintain efficient flow of procedures/processes.
- Correspondence, emails, telephone queries must be handled with confidentiality.
- Manage all correspondence, internal and external, respond as required and as appropriate.
- Coordinate meetings both locally and at remote locations, i.e. book conference rooms, meeting invites, hotels and flight, etc.
- Prepare, coordinate and distribute meeting material, e.g., agenda, reports, etc. and facilitate minute taking when required
- Conduct daily calendar management (Outlook) and proactively adjust schedule based on priorities.
- Prepare PowerPoint presentations, spreadsheets, graphs, reports as required.
- Assist the Team with Invoice coding in Ariba/Concur
- Provide assistance with special projects as required.
- Assist with Translations of documents for the Branch through the Translation Team and upload to the Portal as required
- Coordinate with IT Service Now – with submissions for technology for the Team
- Proactively follow up with team members to ensure that all deliverables are achieved in real time.
- Maintain tracking logs for safety, quality and audit requirements and IT system tools (iAuditor)
- Prepare briefing binders/documents for board level meetings
- Coordinate recognition activities (awards, acknowledgments, milestones)
- Support any training logistics for the branch
- Other duties as assigned.
Qualifications
- College degree in relevant field or equivalent, with 2-3 years of diversified experience in administrative and office support;
- Sound knowledge and proficiency of computer skills, including Word, Excel and Power Point;
- Excellent organizational skills: planning, priority setting and managing through systems;
- Excellent communication skills;
- Strong interpersonal skills: problem solving, customer focused, approachability;
- A very high degree of diplomacy, discretion, professional maturity and judgement;
- Ability to multi-task without compromising quality of output;
- Proven customer orientation and ability to work with various client levels;
- Ability to work well and maintain composure under pressure, meet deadlines and work with minimum supervision;
- Familiarity with the airline industry, an asset;
- Flexibility and willingness to work extended hours, on occasion;
- Some limited travel may be required.
- Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
