About the team you are joining
You Are Joining You will report to the Senior Manager Events Sponsorship
and Advertising and will be primarily supporting the sales of
sponsorship/exhibitions for IATA events and advertising for IATA’s portfolio of
products. The role will require conducting the back office administration work
for advertising agreements, using corporate tools and reporting, ensuring copy
is received on time and closely collaborating with internal colleagues,
particularly the Product teams, Marketing and Sales.
What your day would be like
The core responsibility
of this position is to: Perform the end-to-end back-office tasks for
advertising sales for our Sales team. Work with the sales teams and customers
to ensure advertising copy is received on deadline and in the correct
format.
In More Detail,
This Position Shall Be an OtC and PtP user (ie know the relevant processes,
FPM, etc) Understand the advertising business needs and processes (and help
document them where needed) so as to be able to fulfill business requirements.
Collect all approval requirements upfront based on various advertising
requirements (Compliance, Corporate Secretary (PoAs…), Finance, Insurance,
Taxation, Treasury, Legal, etc…) as per existing regulations (in particular
IATA’s FPM). Perform OtC activities timely from beginning to end on assigned
contracts: contracting and billing in SAP following up on workflows in SAP
chasing payments with customers (before advertising appears). Perform PtP
activities timely on assigned contracts. Follow-up with stakeholders to ensure
timely processing where needed (e.g. approvals etc…). Keep all OtC stakeholders
informed via Salesforce cases. document and share best practices with their
peers and the relevant GPO. Send to the customer any specific advertising
specifications in a timely manner. Ensure advertising copy is received form
customers in a timely manner and in the correct format. Liaise with
publications and sales as required if there are issues raised by the customer
in regard to copy. Assist to ensure customer satisfaction following advertising
investments. Assist with lead conversion during sales campaigns (as
applicable). Some collaboration with regional colleagues could be required.
Provide feedback as relevant On occasion, other tasks and deliverables may be
requested by the Director of Global Sales.

You have a University
Degree in Business Administration or equivalent Ability to work effectively in
an international and multicultural fast-paced team environment. Hands-on with a
willingness to learn/figure things out. Persistent and positive can-do approach.
Ability to work efficiently and effectively under pressure and meet deadlines.
Strong sense of customer service, ownership and accountability. Self-motivated.
Proven organizational skills with the ability to handle multiple queries
simultaneously while maintaining attention to detail. Good interpersonal and
communication skills. Excellent English skills (verbal & written),
knowledge of other languages is an asset. Highly computer literate, with
experience and enthusiasm for systems. Candidates must possess and exhibit the
