The opportunity
We are recruiting an entry-level Quality Systems Specialist (P2) to join Boeing Defence Australia's Core Quality function.
This is a high-trust, high-variety role suited to someone who enjoys being the person who keeps things organised, connected and moving, balancing quality systems support with hands-on coordination, reporting and administration that enables leaders and teams to perform. at their best.
This role is primarily focused on quality systems administration, reporting, coordination and business support within the Quality function. It is well suited to an early-career professional, graduate, or someone looking to build experience in quality systems and governance.
You will support enterprise quality activities through preparation of monthly packs and reporting, coordination of actions across the quality function, tracking deliverables, maintaining records and helping keep priorities moving. You will also provide direct support to the Senior Manager Quality & Safety, including preparing meeting packs, briefs and minutes, coordinating inputs from stakeholders, and helping maintain the rhythm of business across the function.
A key component of the role is administration and support of the Quality Systems that underpin the Quality and Safety Management System at the BDA level, including user administration, record management, workflow support, reporting support and configuration under guidance.
You will work closely with senior quality leaders and broader stakeholders across programs to help maintain compliance, visibility and follow-through across the function, while strengthening day-to-day cadence, communication and system use.
Key responsibilities
- Support administration of systems used within the Quality and Safety function, including user administration, record management, workflow support and data integrity checks in accordance with BDA processes.
- Assist with preparation of monthly reporting packs, dashboards, briefs, meeting papers and other routine reporting for leaders and stakeholders.
- Coordinate inputs from multiple stakeholders to compile status updates, metrics, evidence, slides, action closure material and other inform.ation required for reporting and decision-making.
- Provide direct administrative and coordination support to the Senior Manager Quality & Safety, including preparation of meeting packs, briefs, minutes, action registers and follow-up of outcomes.
- Maintain rhythm-of-business activities for Core Quality, including calendars, agendas, pre-reads, distribution lists, trackers and reporting cadence.
- Track and drive completion of actions and deliverables across the quality function; proactively follow up updates, identify blockers and help keep stakeholders aligned.
- Provide practical support to Intelex users across the business, including triage of queries and coordination of fixes or enhancements with the right stakeholders.
- Assist with system configuration and continuous improvement of form.s, workflows, dashboards and user guidance under supervision.
- Collect, validate and organise quality data to support reporting, visibility of issues, and routine trend analysis.
- Support document and record management activities that underpin the Quality and Safety Management System.
- Support internal communication and coordination activities across the quality and safety network, including organising sessions, capturing outcomes and maintaining artefacts.
- Provide coordination and administration support for quality activities such as reviews, action tracking and audit logistics, including scheduling, document collation, status reporting and follow-up.
Essential criteria
- Tertiary qualification (or currently enrolled) in business, inform.ation systems, quality or a related discipline; or equivalent vocational qualification or relevant experience.
- 0-2 years' experience in administration, coordination, reporting, systems support, quality systems or a related environment; internships, cadetships or graduate experience are relevant.
- Strong organisational skills and attention to detail, with the ability to manage multiple tasks and follow established processes.
- Ability to prepare reports, packs, presentations, minutes, trackers or other structured business documentation.
- Ability to collect, organise and present data in a clear and accurate way.
- Good written and verbal communication skills, with the ability to work collaboratively across teams and stakeholders.
- Confidence using Microsoft Office tools, particularly Excel, PowerPoint and Word.
