About the Role
Executive & Administrative Support
- Prepare agendas, briefing materials, talking points, meeting minutes, and presentation packages for senior leadership meetings, conference calls, and client engagements.
- Manage and maintain the Vice President’s daily, weekly, and monthly calendar, ensuring effective prioritization and resolution of scheduling conflicts in alignment with strategic objectives.
- Screen and manage incoming emails and telephone communications, draft and proofread confidential correspondence, and maintain secure digital filing systems using SharePoint and internal repositories.
- Handle message routing, respond to inquiries on behalf of the Vice President where appropriate, and ensure timely follow-up on action items.
- Coordinate domestic and international travel arrangements, including visa processing, accommodation, transportation, and itinerary preparation.
- Oversee travel bookings through Concur and Visit LM systems and reconcile post-travel expenses in accordance with company policies.
- Set up and manage video conferencing platforms including Microsoft Teams, Skype, and VTC systems, while providing real-time troubleshooting support during meetings and events.
Business Operations & Market Intelligence
- Conduct basic research and analysis on local, regional, and international market conditions, customer preferences, competitor activities, , market penetration, and regulatory developments.
- Produce concise market intelligence reports, forecast models, and strategic recommendations related to new products, services, or business opportunities.
- Develop short-term project status reports, including updates related to trade exhibitions, pilot programs, and operational initiatives, ensuring stakeholders remain informed of progress and risks.
- Maintain a high-level overview of regional budgets, identify and flag significant variances, and prepare executive-level briefing slides and summaries for leadership review.
Compliance, Coordination & Continuous Improvement
- Represent the Riyadh office in internal Lockheed Martin forums, contributing insights on technical, commercial, and policy-related matters.
- Identify opportunities to improve administrative and operational efficiency, including the development and implementation of standard operating procedures (SOPs) for travel management, expense reconciliation, documentation, and meeting coordination.
- Lead and support small-scale process improvement initiatives to enhance operational effectiveness and service delivery.
Required skills, qualifications and experience
- Bachelor’s degree in Business Administration, Engineering, International Relations, or a related field.
- Preferred minimum of 1 year of experience supporting senior executives or working in a technical or operational role within a multinational defense, aerospace, or technology organization.
- Demonstrated ability to handle confidential and sensitive information with discretion and professionalism.
- Strong organizational skills with the ability to work independently, manage competing priorities, and meet tight deadlines.
