In this role, you will:
- Provide support to project teams, including:
- assisting in the management and reporting of project resources, risk, opportunities, and issues
- Scheduling and facilitating stakeholder meetings, including compiling meeting minutes and recording & tracking actions
- Supporting project stakeholder management and communications
- Managing and maintaining project documents as required
- Producing reports and presentations for board reviews, progress meetings, etc. as required
- Develop metrics and manage databases in support of project delivery objectives
- Carry out document and records management (electronic and hard copy filing, archiving) ensuring compliance with Document Control processes
- Support in the administration of subcontracts and subcontractors
- Manage the project SharePoint site to facilitate communications and data availability
- Coordinate onsite visitors including support to health & safety requirements
- Develop, manage, and release project communications and formal reporting to the client
- Assist in the management of key improvement initiatives
- Coordinate project collaboration including tracking and following up on timelines and deliverables, progress reports and action items
- Perform other duties as reasonably assigned to support business needs
The ideal candidate brings:
- A Bachelor’s degree, college diploma, or certificate in Administration, Business Management, Engineering, Accounting, or a related field
- A minimum of two (2) years of relevant work experience; however, new graduate applications will be considered.
- Advanced skills in Microsoft Office Outlook, Word, Excel, and PowerPoint
- Superior verbal and written communication skills
- An attitude to thrive under pressure and your time management and prioritization skills are excellent
- You work with precision and accuracy, demonstrate exceptional attention-to-detail and have excellent organizational and record keeping skills
- Experience in SharePoint and managing large databases
- A track record of identifying and implementing administrative solutions to increase efficiencies
- Demonstrated good judgment and a high level of confidentiality
- Experience working in a project based environment is an asset
- Experience working with the Canadian Department of National Defence (DND) and/or Public Services and Procurement Canada (PSPC) is an asset
