PURPOSE
Provide administrative support to all internal customers by being the primary point of contact for HR Operations, including Employee Life Cycle, Governance & Compliance, Payroll, and Strategic activities. This role will deliver advice and support based on a strong understanding of SITA's processes, procedures, policies, and payroll compliance.
The role also participates in Payroll and HR Operations projects and the roll-out of programs, ensuring compliance with employment law and company policies.
Key Responsibilities
Employee Life Cycle Management
- Administer activities related to pre-onboarding and onboarding, including issuing offer letters, contracts, reference checking, and immigration documentation.
- Deliver induction on the employee's first day, promoting all HR tools, including the global online induction.
- Administer standard employee benefits and ensure benefit providers are updated on any employee changes (new starters, leavers, family changes, salary changes, etc.).
- Manage voluntary offboarding processes and prepare correspondences related to employee lifecycle changes (salary increases, bonus payments, promotions, internal transfers, etc.).
- Administer employee absence management, including holidays, maternity/paternity leave, parental leave, and short-term sickness.
- Ensure that long service awards and other recognition programs (like Values in Action) are properly recorded and implemented.
- Respond to internal and external customer queries, providing timely, effective service.
Payroll Management And Benefits Administration
- Prepare and input salary payment data accurately and on time.
- Support annual Reward Plan activities.
- Collaborate closely with internal HR stakeholders, outsourced payroll vendors, and the Finance team to ensure the smooth workflow of payroll-related matters.
- Administer benefit programs such as medical, disability, life plans, pension savings plans, and global leave policies.
- Handle benefits-related queries from employees, ensure monthly benefit invoices are paid, and manage the Purchase to Pay (P2P) process.
Governance and Compliance
- Maintain up-to-date employee records, ensuring data compliance by regularly auditing employee information in the PeopleSoft system.
- Produce management reports from the PeopleSoft system as requested.
- Monitor changes in legislation affecting local HR policies and escalate them to the GEO HR Manager.
- Assist with internal and external audit requests, including preparing necessary documents and materials.
- Follow company procedures for order processing, purchase orders, and cost center queries.
Strategic Support
- Provide administrative support for internal communications, such as local and corporate news briefings.
- Assist GEO HR in providing data for business cases (e.g., mergers & acquisitions, outsourcing, or large deals).
- Work with the Reward team and GEO HR to provide full employment cost data when needed
Qualifications
Experience
- 3+ years of experience in HR administration, with a focus on payroll management.
- Experience working with HRIM systems.
Knowledge & Skills
- Knowledge of payroll compliance, employment law, and HR administration.
- Proficiency in MS Office Suite, with advanced skills in Word & Excel.
- Understanding of Data Protection, Equal Opportunities, and Ethics practices as they apply to payroll and HR activities.

Education & Qualifications
- Fluent in English; regional language skills are an advantage.
- Higher education qualification or university degree.
- Membership in a professional HR association or pursuing a qualification from a recognized HR body is a plus.
