The Enterprise Effects Division (EED) drives integration of Aerospace’s strategic capabilities across the national space enterprise. The division leverages a broad array of engineering disciplines against a diverse and dynamic portfolio of programs, customers, and national challenges. EED spans the capability lifecycle from concept and architecture design to performance assessment to application of space and space-enabled capabilities.
We are seeking an Administrative Assistant, who performs a wide variety of key administrative and operational tasks for a group/division/sub-division/location. The individual provides collaborative administrative support to ensure effective and efficient operations. This person resolves problems quickly; executes processes and procedures; and works closely with leaders, colleagues, and customers across the enterprise.
Work Model: This position requires a minimum four days on-site work in Chantilly, VA with the potential for one day telework.
What You’ll Be Doing
- Execute support as part of a team of administrative specialists supporting multiple organizations
- Internal and external meeting and event support and execution (i.e., reserve conference rooms, AV requests, visitor logistics, catering)
- Arrange travel, logistics, and expense reporting
- Execute employee support (on-boarding, timesheet administration/auditing, training requirements, supply/equipment orders)
- Act as a Functional Time Administrator (FTA) for the organization(s)
- Submits order requests (i.e., equipment, office supplies, software, supply chain)
- Submits incoming and outgoing VARs/clearances
- Office equipment management to include inventory tracking
- Generates reports and documents (compile/edit/publish)
- Support special projects, track actions items, and track deliverables
- Improve and ensure effective processes/systems that provide superior organization, efficiency, and industry-leading best practices
- Collaborates with admins within the group, division, subdivision, and across the corporation to achieve coverage and increase efficiency and consistency
- Other duties as required
Minimum Requirements
What You Need to be Successful
- High School Diploma, GED, or equivalent
- Fundamental administrative skills: strategic execution of tasks, organization, detail-oriented, writing, and proofreading
- Technological fluency across a wide range of tools and platforms such as Microsoft Office 365 applications including Outlook, Word, PowerPoint, Teams, SharePoint and Excel and meeting tools such as Teams and Zoom
- Fundamental communication and interpersonal skills: leadership, collaboration, problem-solving, emotional intelligence, judgment, and decision making across all levels of the organization
- Ability to rapidly adapt to changing environments and anticipate needs of the organization
- Ability to handle sensitive and personnel-related information appropriately and support sensitive management functions
- Ability to work independently and cooperatively with a team to proactively deliver innovative solutions and resolve issues with minimal direction
- This position requires the ability to obtain a TS/SSBI/SCI security clearance and polygraph, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance.
