As our Payroll Specialist – Shared Services, you will be responsible for coordinating, governing, and ensuring the end-to-end execution of the outsourced payroll process, acting as the primary liaison between Viva and the service provider. Your goal will be to guarantee the proper management of inputs, validations, incidents, operational milestones, calendar compliance, deliverable tracking, and service control—ensuring accurate and timely payroll disbursement in accordance with the company's applicable legal, tax, and labor obligations.
This role acts as the internal process owner under an operational PMO approach, maintaining end-to-end visibility, risk control, critical dependency tracking, and formal escalation mechanisms—even when the calculation and processing have been outsourced.
Your responsibilities will include:
- Coordinating the outsourced payroll process end-to-end — from input collection to final disbursement — acting as the primary liaison between Viva and the provider, ensuring calendar compliance, deliverables, and timely execution by each responsible party at every critical stage.
- Outsourced Service Governance (Gatekeeper): Verifying that each party fulfills its responsibilities, tracking open items, and formally closing critical issues before each payroll run.
- PMO Governance: Maintaining a work plan with milestones, key dates, and dependencies. Leading meetings with documented minutes, operational dashboards, executive reports, and escalation mechanisms.
- Provider Performance Monitoring: Tracking SLAs and KPIs (payment accuracy, response times, rework). Generating traffic-light reports and conducting periodic service reviews.
- Continuous Process Improvement: Proposing adjustments to the operational model and coordinating the integration of new entities (e.g., Viva Handling).
- Information and Input Management: Validating payroll variables (incidents, vacation, severance, deductions). Implementing preventive controls and input traceability.
- Risk, Incident, and Escalation Management: Maintaining a risk and issue log with owners and due dates. Resolving incidents and identifying root causes.
- Compliance and Internal Control: Maintaining controls and audit evidence. Legal, tax, and labor responsibility remains with Viva.
Our ideal candidate:
- Bachelor's degree in Finance, Accounting, Business Administration, Human Resources, or a related field.
- Intermediate English proficiency.
- Experience in payroll processes.
- Experience managing outsourced payroll services.
