Description
As a Menzies Aviation Training Administrator, you will provide administrative support to Training Manager and Trainers, maintain accurate records of new hire employee files ensuring completion requirements are met. Coordinate scheduling of new hires training and re-training with Training Supervisor/Manager. Develop a uniform database to maintain an adequate uniform inventory and provide timely distribution of uniform requests. Provides daily status updates to Human Resources, Operations, Recruitment and Training Manager, identifying immediate and long-term operational needs. Answering the telephone, respond to voicemail and relay messages.
Primary Accountabilities And Duties
- Entering and coding employees in training attendance information
- Coordinate and administer all training bookings.
- Sends attendance registers to Line Management daily.
- Prints, records, and issues Training Certificates
- Assists Trainers with printing Training Manuals and handouts.
- Provides information regarding training dates and records same for management.
- Assist with enrolling e-learners.
- Assists with e-learning training and contacting employees to complete all initial and recurrent training.
- Maintain accurate filing system for all employees’ files and enter employee data into the Training Matrices
- Ensures all filing is up to date and that files are kept in good order following the 8 Pillar requirements.
- Relocate active to terminated files.
- Updates and maintains Station Matrix for DEN (Denver)
- Assists with Matrix and Training related queries.
- Prepares and distributes reports as requested.
- Develop a uniform database, maintain uniform inventory, and provide updates to the Training Manager as to existing and upcoming needs based on projected new hire classes.
- Complete uniform orders for new hires
- Keep the training office neat and orderly daily.
- Project a professional image/conduct at all times
- Other related duties as assigned.
Qualifications
- Prior aviation or ramp experience is advantageous.
- Prior experience within a similar role is advantageous.
- Computer literate with knowledge of Microsoft Packages
- Ability to work using own initiative and without supervision.
- Excellent oral, written and communication skills in English.
- Excellent organizational planning skills and a good eye for detail.
- Experience of working in a busy, sometimes high-pressure environment.
- Must be able to lift to 70lbs when required.
- Must be able to set priorities, meet deadlines, and manage multiple tasks.
- Excellent interpersonal and communication skills required.
- Valid driver’s license, ability to obtain required security clearances and ability to obtain a driving authorization from local airport authority.
- Must be able to travel when required.
- Must be reliable and maintain excellent attendance.
- Must be available and flexible to work variable shifts, including weekends and holidays.
- Work is completed primarily indoors; however, must be comfortable working in all weather conditions.
