Delta is seeking a highly organized, proactive, and trusted business partner to support the EVP & Chief People Officer. As the Administrative Assistant, you will provide advanced administrative support, manage sensitive and confidential information, and partner closely with leaders across the organization. Success in this position requires strong business acumen, sound judgment, and a comprehensive understanding of Delta's programs, policies, and operating practices.
Key Responsibilities
- Handles confidential personal and business information effectively.
- Acts as an information source on policies, procedures, processes and practices.
- Responsible for the maintenance of documents, records and other data forms.
- Acts as the gatekeeper for arranging meetings and appointment scheduling.
- Coordinates and works with support areas on the development of major projects, initiatives, and reports.
- Monitors and purchases office supplies using purchasing account.
- Organizes domestic and international travel arrangements which include flight reservations, hotels, etc.
- Highly skilled in completing and reconciling vouchers and expense reports.
- Exercises extensive calendar management for the executive and resolves scheduling demands.
- Works closely with the leaders to anticipate the business needs and priorities.
- Drafts and answers correspondence as needed.
- Coordinates details of event planning and logistics including meetings, A/V conferencing set-up, conference rooms, presentation and materials preparation, venue layouts, external vendors, etc.
- May be responsible for taking meeting notes and publishing transcriptions.
- Utilizing MS Word, Excel, PowerPoint, Access and Outlook to prepare invoices, reports, decks, memos, letters, and other documents.
- Highly organized with outstanding attention to detail.
- Practices safety conscious behaviors in all operational processes and procedures.
- Highly sophisticated in multitasking, deadline driven, and possesses the ability to manage multiple high-level projects.
- Well organized, agile, and enjoys the administrative challenges of supporting an office of diverse people and programs.
- Greeting visitors, receiving telephone calls, interacting with Delta leaders and their staff, working on travel and ticket issues, and preparing responses to correspondence containing routine and sometimes complex inquiries are typical tasks associated with the position.
- Ability to pivot to different projects with ease, proactive, resourceful, and succeed efficiently in a fast-paced environment.
- Act with a high level of professionalism and confidentiality.
- Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally meaningful.
What You Need To Succeed (Minimum Qualifications)
- 7 or more years previous Administrative Support experience required.
- 2 or more years supporting Executive level VP
- Requires advanced computer skills in Microsoft Outlook and proficiency in Windows-based applications like Word, PowerPoint and Excel.
- Should have the necessary skills to effectively write business correspondence and work procedures.
- Must communicate with all levels of staff, from front-line employees to senior executives.
- Ability to anticipate the business needs and priorities of the Executives.
- Should have a knowledge of corporate business processes and procedures such as travel, payroll, benefits, reimbursements, and expense reporting; purchasing and departmental budget management experience is preferred.
- Must be highly organized with superior attention to detail.
- Impeccable interpersonal skills are necessary to greet visitors, customers, and business partners or to make inquiries and exchange business information.
- Must be able to apply attention to detail to ensure that information is accurate and correct, that documents are grammatically correct, and that work is completed in a timely manner.
- Must have the ability to coordinate the schedules of multiple aspects of projects assigned by individual staff members or vendors.
