Role Introduction
Reports to: Head of Aviation Medicine
As part of the Group Medical Department (GMD), the Aviation Medicine Team (AvMed) covers all aviation industry medical matters, ranging from setting aviation medical policies and procedures, licensing medical exams to regulatory compliance with Hong Kong Civil Aviation Department (HKCAD).
In this role, you will coordinate with internal and external stakeholders, e.g. Flight Operations Department (FOP) and HKCAD, to provide admin support on the operations. You will also be responsible for medical services billing and budgeting. On top of that, you will gain exposure to various projects from process improvement to digialisation projects.
Key Responsibilities
- Provide coordination and operational support to AvMed doctors, including report preparation, data analysis, appointments, travel bookings, expense claims, mail distribution and other daily operational tasks
- Facilitate communication and follow-up with internal stakeholders such as Flight Operations and Talent Acquisition on fit-to-fly notifications, pre-employment assessments and related aviation medical matters
- Coordinate with external parties including HKCAD, insurers, external medical consultants and medical service providers to support regulatory, licensing and operational requirements
- Prepare, cross-check and follow up on medical reports and correspondence, including pilot recruitment screening forms, medical clearance reports, specialist referral letters, follow-up letters, loss of licence cases and drug and alcohol case reports
- Maintain safe keeping, storage and filing of medical records in accordance with applicable Hong Kong Medical Council guidelines and internal requirements
- Support medical services billing by verifying invoices from service providers and liaising with relevant parties to ensure timely and accurate payment processing
- Assist in annual budget preparation, quarterly forecasting, expenditure monitoring, variance identification and implementation of corrective actions
- Conduct statistical analysis, productivity tracking and expense monitoring to support team performance, governance and compliance with company policies
- Identify and support medical service improvement initiatives, including cost-saving opportunities, process enhancements and supplier relationship management
- Coordinate and support ad hoc projects, including medical record digitalisation, scanning and categorisation activities, HKCAD PLIS system enhancements, progress monitoring and feedback follow-up
Requirements
- Minimum Form 5/DSE standard with a pass in English (Syllabus B)
- At least 3 years’ relevant experience in an administrative, secretarial or project capacity
- High level of integrity and sensitivity in dealing with confidential matters
- Previous working experience at hospital or medical clinic are advantages
- Excellent command of spoken and written English. Spoken and written Chinese (Cantonese and/or Putonghua) is an advantage
- Excellent interpersonal and communication skills with the ability to interact in a multicultural environment
- Excellent problem solving, planning and organization skills. Able to independently manage and prioritize multiple tasks within defined time constraints
- High proficiency in MS office suites is essential.
