Job Summary
The Customer & Invoicing Analyst is part of the Customer Invoicing team within the Swissport Business Services organization. The role is responsible for the timely and accurate execution of the end-to-end flight billing process for scheduled, ad hoc, charter, and cargo flights, ensuring compliance with internal policies, contractual obligations, and regulatory requirements. The position manages contract configuration and maintenance in the Find Net Billing System, monitors CPI adjustments, prepares and validates customer invoices, and provides billing support by resolving invoice-related queries and disputes. The role collaborates closely with stations, Commercial Line Coordinators, and other internal stakeholders to ensure billing accuracy, process standardization, continuous improvement, and high levels of customer satisfaction.
Job Responsibilities
- Ad Hoc and Scheduled Flight Billing
- Prepare and process invoices for both Ad Hoc and scheduled flights.
- Coordinate with station staff to confirm operational and billing data prior to invoicing.
- Review, verify, and validate handling invoices to ensure accuracy and compliance.
- Ensure timely dispatch of invoices to clients via appropriate channels (email, postal mail, courier services, or through IATA billing systems).
- Invoice commissions related to excess baggage handling.
- Generate airport tax invoices for charter and cargo flights.
- Invoice for rented equipment used during flight operations.
- Contract Management and System Monitoring
- Program and manage client contracts in the FindNet Billing System.
- Monitor and apply CPI (Consumer Price Index) adjustments monthly in accordance with each client's contract terms.
- Track and invoice OTP (On-Time Performance) related penalties or bonuses where applicable.
- Charter Flight Declarations and Reporting
- Prepare and submit monthly charter flight declarations in compliance with regulatory and internal requirements.
- CLC Billing (Central Load Control)
- Collaborate with the CLC Manager to validate data prior to invoice generation.
- Review and validate CLC invoices for accuracy.
- Oversee the delivery of invoices to respective clients in a timely manner.
- Client Support and Dispute Resolution
- Handle and resolve client complaints and billing disputes professionally and within agreed timeframes.
- Act as a point of contact for billing-related queries, ensuring a high level of client satisfaction.
- Maintain positive work relationships with members of the Business Services team, internal customers and stakeholders from countries
- SLAs adherence
Qualifications And Competencies
- Certificate of Secondary Education (minimum), Desirable: University degree in Business Administration or Finance, IT, or similar
- 2 years or more of experience in a similar position
- Experience in Aviation Sector/industry is a plus
- Strong attention to detail and accuracy in financial processing.
- Excellent coordination and communication skills across teams and departments.
- Proficiency in billing systems (experience with FindNet Billing is an asset).
- Good understanding of aviation operations, especially in the context of charter, cargo, and commercial flights.
- Ability to manage multiple priorities and work under tight deadlines.
- Successfully handles most non-routine issues, escalates to team lead issues that cannot be resolved.
- Requires minimal supervision to manage daily activities and to meet deadlines.
- Good communication skills, both written and verbal
- High proficiency in spoken and written English as the corporate language
